Who is responsible for your information
Room.C Media is a trading name of Charles Shepherd, sole trader. Full business and contact information is available in the Imprint.
Information Room.C may collect
Room.C may process information you provide through project enquiries, direct correspondence, client onboarding, media-list registration, or other professional contact. This can include your name, work contact details, organisation, project information, communication preferences, correspondence, and information needed to deliver an agreed service.
Why it is used
Information may be used to respond to enquiries, take steps before entering into a contract, deliver and administer client work, maintain professional relationships, operate the press room and media list, manage communication preferences, protect the website, and meet legal or accounting obligations.
Media contacts
Information about journalists, editors, and other media professionals is covered in more detail by the separate Media Contact Privacy Notice.
Website analytics and cookies
Room.C uses essential technical functionality required to operate WordPress and secure the site. Optional analytics are blocked by default in the current build and should only be enabled after the relevant privacy and consent/statistical-purpose configuration has been deliberately implemented. If the tracking setup changes, this notice and any required controls should be updated before the change is made public.
Service providers and international transfers
Room.C may use service providers for hosting, email, file storage, contact management, payments, analytics, and other operational functions. Where personal information is processed outside the UK, appropriate safeguards should be used where required.
Retention
Enquiry and professional-contact records are kept only for as long as they remain useful for the relevant purpose, subject to legal, accounting, contractual, and suppression-record requirements. Client records may need to be retained for longer where required by law or for legitimate business records.
Your rights
Depending on the circumstances, you may have rights to request access to, correction of, deletion of, restriction of, or objection to the processing of your personal information, and in some cases data portability. You may also complain to the UK Information Commissioner’s Office.
